Treasurer’s Report

Grace Daley handed out the budget.  The current budget is $21,472.58

Room Parents

Cathy Gamberoni will send out emails to room parents throughout the year aksing for volunteers and sending out information about events.

She suggested offering volunteer jobs to the 7th and 8th graders to get points towards their class trips.

Fundraising

Total Sales $4638.50 which is down by $132.00 from last year.  Total profit $1971.00

YTD Direct donations $1815.00 last year direct donations were $1144.00

Craft Fair

There was an issue from the Richmond Director of Public works in regards damage caused by the Hayride at the Craft Fair.  We will determine what needs to get fixed and offer to defray any costs or offer volunteers to help.

It was also brought to our attention that the school was not cleaned appropriately; the PTO will hire a cleaning crew for next years fair.

Blantyre Raffle

A raffle for a dinner for two at Blantyre started at the Craft Fair and will continue through February 3rd.  Tickets are one for $10 and three for $20.  Letters and tickets will go home with each student.  A percentage of the sale or $300 will go directly to the Foreign Language Department for events throughout the year.

Dining to Donate

The next Dining to Donate will be on Thursday, November 10th at Firefly in Lenox.

Richmond Recycles

Richmond Recycles Day will be held on Saturday, November 19th at the school to collect and recycle ink cartridges, Capri sun pouches and cans and bottles. A notice will go out to the community as well as the school.

Barnes & Noble

This event will take place on Friday, December 2nd.  An RCS table will be set up from 10am – 6pm and volunteers are needed. Cheesecakes are available for purchase through the B&N Café.  On-line shopping is also available. A portion of all proceeds will go to RCS.

The next PTO meeting will be held on Tuesday, December 13th.

 Welcome & Introductions

Principal’s Report

Dr. Deyo

They are currently working on school culture with the 7th/8th grade students.

She will be asking for staff and parents to work together on the anti-bullying committee.

School Council will meet the week of October 24th and work on the school improvement plan.

Student Council will be made up of three 6th, two 5th, two 7th and four 8th grade students.

Treasurer’s Report

Grace Daley handed out the budget.  The current budget is $15,837.44

Parent Enrichment Committee

Cathy Gamberoni expressed that with all the changes going on within school was it is a good time to continue with PEC.  There were ideas talked about such as holding a parent social in conjunction with a Dining to Donate event, a 123 Magic, Responsive Classroom or Dangers on the Internet lecture.  These ideas will be discussed at a later date.

Room Parents

Cathy Gamberoni will send out emails to room parents throughout the year aksing for volunteers and sending out information about events.

Fundraising

Joe Corbi

Jayson Tanzman will work on this fundraiser again this year.  It will run for two weeks. The Direct donation letter will go out with the Corbi package.

Craft Fair

The Richmond Craft & Country Fair will be held on Saturday, November 5th.  Separate meetings are being held to discuss this event.

Dining to Donate

The 7th and 8th grade will be having a fundraising event at Baba Louie’s and will not be called Dining to Donate, the PTO will use that name for our monthly fundraisers.

The next Dining to Donate will be on Thursday, November 10th at Firefly in Lenox.

Richmond Recycles/Bake Sale

Grace Daley didn’t feel that it would be right to have a bake sale outside of SOMA so she would like to try a Richmond Recycles Day at the school or Post Office to collect and recycle ink cartridges.  It could be held at the school in conjunction with a bake sale the Saturday before Thanksgiving on November 19th.

Barnes & Noble

This event is worth doing again, with changes and will take place in early December. Vicky Layden will follow up and get back to us with more details.

The next PTO meeting will be held on Tuesday, November 8th.

Treasure’s Report

Per Grace Daley there is $15,866.94 in the current budget to date.

A line item should be added into the budget for each class as to what their spending needs are for the year, Grace will use last year as a guideline.

Grant money has been given to Kindergarten and 3rd Grade, that money must be used for those grades.

Fundraising

Jayson Tanzman gave some background information on the issue of consolidating all class fundraising under the umbrella of the PTO.

Last year the administration asked the PTO to take over fundraising for RCS make it school wide, each class would no longer be responsible for their own fundraising.  The idea being that each class would no longer be doing something different creating less over all fundraising.  This would remove the burden on teachers, room Mom’s and parents.

We currently have about $15K but need $19 for the year; our goal is to be fundraising for the following year.  If we end up with extra money in the budget then the PTO would like to ask teachers/staff if they have any needs for their class.

The biggest concern on the table is that each class has always had its own budget and should fund their specific events.  Would the fundraising now be school wide?  How does each class get its money?

The question was raised by Cathy Gamberoni and others was how the budget would be handled for the 7th and 8th grade classes as their needs are so much larger than the other classes.  The 7th & 8th grade trip is not included in the PTO budget and therefore they would need to raise money for those events.

The 5th and 6th grade classes have already started their annual magazine drive.

How will the fundraising be handled this year?

Each class is welcome to run a fundraiser but all money raised will fall under the PTO with each class having a budgeted line item based on the teacher’s requests.

The PTO feels that this issue was not communicated clearly enough to the staff and parents.

Dr. Travis said he would bring this up at the next faculty meeting and ask teachers to supply a breakdown of their budgetary needs for the year as well as an inventory of any current fundraisers they have planned and all past fundraisers that they have done in the past.

Principal’s Report

Dr. Travis said that the new Kiss & Ride was a work in progress and that plan A had been attempted…there is a plan B & C that may be tried soon.

The Math night was cancelled due to too many other conflicting local events, it will be rescheduled.

BBQ

Dr. Travis mentioned that there was an issue with a refrigerator being turned off at the BBQ and $75 worth of food was lost.  Dr. Travis feels that the PTO should reimburse the kitchen?  A vote was taken and all agreed to pay the $75 to the kitchen.  An email from Tammy to Dr. Travis will serve as an invoice to Grace.

Overall the PTO feels that the BBQ went well and seemed to have a good turn out.  A big thank you to all for your efforts and hard work.

The issue of the night seemed to be how to move people more quickly through the food line…it was mentioned by many that the condiment station was were the line got backed up.  An idea for next year would be to move that station or place the condiments on the picnic tables.  Another idea would be to have double lines through the salad station.

Fund Raising

Grace Daley who ran the bake sales said she is willing to have them for the school instead of just for the class.

The PTO agrees it would be good to have more fundraising events for parents and kids and less selling of merchandise.

Bianca Daigle will put up a sign in the Teachers lounge and the school lobby to announce the date of the next PTO meeting each month.

Craft Fair

There will be a separate meeting to discuss the craft fair on Tuesday, September 28th at 5:15pm…please join us as people are still needed to help run and volunteer at the event.

Fall Fundraiser

Joe Corbi Catalogue is in; Jayson Tanzmen is in charge of this fundraiser.

The room parents will be responsible for getting the materials out to their classes.

The direct donation letter will go out with this fundraiser.

Spring Fundraiser

The PTO will be doing a spring fundraiser but nothing has been set at this point.  Ideas still need to be discussed at later meetings.

Parent Enrichment Committee

Cathy Gamberoni spoke to the PTO about the objective and the goals of the PEC; the goal is to promote social and educational events for the school (speakers, a presentation on the responsive classroom etc.)  It was set up a last year and the attendance has been very low.  There was a wonderful presentation with the Pre-K through 4th grade and only a few people showed up for the event.

The idea is to merge this program with the PTO to help with input and attendance.  The hope of the PEC committee is to put on a fall and spring event (such as the Dr. Johnson round table discussion this fall)

A great idea was to mix a PEC event with a movie night.  On a bigger scale it would be interesting to collaborate with other schools to bring in bigger events that can possibly be used as a fundraiser as well.

Room Parents

Cathy Gambeson said that we have representation for all the classes.  Thank you to Cathy for handling this for the year.

PTO Closet

There is a PTO closet that Tammy showed to Jayson at the BBQ and it needs to be cleaned out.

We need a person to handle cleaning out the closet once a year, Jen Yohalum volunteered for this year to work with Tammy to make this happen.

Babysitting at PTO meetings

Babysitting will be available at all PTO meetings; our goal is to make it accessible for anyone to attend.

It will cost $2 per child with a max of $5 per family.

It was agreed that the PTO will guarantee each Babysitter a minimum of $10.

Cathy Gamberoni will try to get a count on the number of kids attending for each PTO meeting.

Attendance and Introductions

1. BBQ

Date is set for September 7, 2010 at 5:30pm

Jayson will get in touch with Tammy on September 1st to discuss the details and ask how the PTO can help with this event.  Do we need to provide any food or other items and does the PTO pay for it?

Jim will email the PTO members asking for volunteers for 5pm.

Wendy suggested getting a head count.

Bianca will do a sign for the BBQ promoting the next PTO meeting; she will also handle the sign up sheets for volunteer opportunities throughout the year.

5. Craft Fair

The date of the Craft Fair has been set for Saturday November 6th.  The name of the event is the Richmond Craft & Country Fair.

The Craft Fair is the largest fundraiser of the year and should make a profit of about

7-10K for the PTO.  All of the crafters will be set up in the Gym and the new “kids section” of the fair will be in the cafeteria.  The Book fair will be set up on the stage in the Cafeteria and the silent auction will be in the hallway.

Bianca is handling the volunteers for the event.

Pam is on target with publicity and media, she will also be in charge of ordering tables which are donated by John Heaton who will drop off and pick them up.

Vicky is in charge of the book fair.

Jim Biancolo is waiting for the permit from the town.

Tina is doing the posters for the event (100) and will need help from volunteers in getting them put up around the surrounding towns; the advertising is integral to our success.

Tracy has sent out letters to crafts people and has about 20 tables already reserved for the fair at this point…our goal is to have 50 crafters this year.  Wendy is making some calls to people who have not responded and have done the fair in the past, we will also send out more letters.  If anyone knows of any good crafts people, especially local, with a price range of no more than $100 please contact Tracy.  Wendy expressed another idea for the fair; get local shops and/or craft people ie: Museum Facsimile in Pittsfield to have a table which would be run by a volunteer.  The PTO would get the table fee and/or a profit of sales?  This should be discussed in more detail.

The Silent auction is a huge part of the event and the letters need to go out NOW in order to start getting donations.  There needs to be at least 80 items with no more than 100.  Grace and Michelle will check in with Shannon Smith to make sure this is happening.  Grace is also going to get items herself and the PTO can ask for parents to generate items.

A Thank You brochure needs to be made thanking all the people/companies who have helped with the fair.

The PTO will talk with Tammy about her food tables and what she needs at the fair.

Kids Section of the Fair

We are still looking for volunteers to take on the roll of overseeing the kids section of the fair.  Two ideas were discussed; having vendors (they will rent a space for $35 and charge their own prices for services) and/or each class running a game or activity.

Can we use existing games such as Plinko and Probability?

Grace will call her contact to check on the possibility of a bounce house.

The Foreign Language dept. may still want to do a fundraising table at the fair this year…the PTO does not have a problem with this and can have one table with some restrictions.

All Room Mother’s will need to be contacted to let them know that in lue of individual fundraisers each class can contribute by running a game or activity.

Some type of admission will need to be charged for the kids section of the fair, this will be done at the front table.

There is a $1.00 admission to the Craft Fair for adults

$2.00 admission to the kid’s activity section

($2.00 per child with a $5.00 cap per family)

Grace will need 3 banks and need to provide change for vendors if needed.

Fund Raising

The direct fund raising letter was presented to Dr. Travis and he had no objections to the idea.

The letter will go out at the BBQ as well as with the Joe Corbi catalogue.

Michelle has requested that if parents choose to do a direct donation and not use the Corbi catalogue to please return it to school.

PTO meetings will be the second Tuesday of every month at 5:30pm.  The next PTO meeting will be Tuesday, September 14, 2010.

1. Treasure’s Report

Julia and Grace will set a separate to discuss the details of the treasure’s report and PTO account.

Grace is going to switch to using Quick Books as the new accounting system.

If she has any ideas on cleaning up line items from the report please do so and present to PTO for a vote.

The PTO needs to raise an estimated $17,000 a year not including the 7th and 8th grade trip.

Each grade currently has a budget for expenses; the PTO should use that money first then use the PTO budget.  The PTO fundraising done this year will be used for 2011-2012.

RCS and the Town of Richmond have accounts for grades 5-8, CAP and Art; these accounts go through the town treasurer (Amy Lane).  The PTO holds some funds for grades 5-8.  The recommendation is to consolidate funds unless there is some reason not to.  The idea is to keep all grades money with the PTO.   This issue was tabled and should be discussed at a later date.

The hope of the PTO is to not only build funds for class trips but have extra funds for faculty needs and/or gifts.

3. BBQ

Date is set for September 7, 2010

This event is the first PTO event of the year and Jayson thought it was important to have a big presence at the event to market the PTO.  A table will be set up and we will need parent and student volunteers to give information about the PTO.  The table should be well placed within the event and have specific details about the upcoming fundraisers, sign up sheets for volunteers and a sign up for the PTO email list.

Jayson should give a short speech.

Volunteers are still needed for all aspects of the BBQ.

4. Fund Raising

The PTO is open to the idea of direct fund raising, Grace and Jim will draft a letter that will go home with all students on the first day of school and also with the Joe Corbi catalogue in September.  The letter can also be handed out at the BBQ.

Jim talked about if it would make sense for the Richmond PTO to become a 501(c)(3) so that all donations would be tax deductable, it was decided that this would not be necessary.

Also discussed as if the PTO account should be moved from a regular checking to an interest bearing account, it was decided that it should not be moved.

There can only be three co-signers on the PTO account with Berkshire Bank.  It was decided that Jayson Tanzman, Grace Daley and Tracy Olsen Crawford will be added to the account.

Tracy Olsen Crawford will handle picking up and sorting the mail in the PTO mailbox at school.

5. Craft Fair

The date of the Craft Fair has been set for Saturday November 6th.

The meeting on the Craft fair went well and there has been a lot of support and volunteers but Jayson feels it’s important to find someone who will be in charge of the entire event.

Letters to the crafters still need to go out, Tracy and Michelle will work together with Wendy to revise and send out letters out ASAP.

The name of the event is the Richmond Craft & Country Fair.

The traditional Richmond Craft Fair is entering its first phase of an exciting revitalization.    This year the fair will be called the Richmond Craft & Country Fair. The event will undergo a score of changes, however, so that in 2011 the fair will emerge as the Richmond Country Fair, so named for the future tie to additional harvest events.   This year’s fair will still host the favored traditions of the “silent auction and community crafters”, and will now offer a “kids corner”.  Children can indulge with face painting, art’s n crafts and so much more while parents get a head start on their holiday shopping.  A “Book Sale” will also be at the fair this year, adding yet another holiday, shopping opportunity right in your own neighborhood.

The fair continues to offer crafters and artists a venue to advertise and sell their “wares”.  This is a great chance for a crafter or artist to get their name out there.  The fair saw an increase in attendance last year and with the coming changes over the next 12 months, we expect even more.

6. Room Parents

Room Parents have been set for grades K-4.  Room parents are still needed in grades 5-8.

Cathy Gamberoni is still working on getting room parents, if needed we can ask for parents support at the PTO table at the BBQ.

The issue whether or not to have babysitting at the PTO meetings was brought up, and if it will be paid for by parents or the PTO this issue was tabled for a later date.

1. Treasure’s Report

The report was handed out to attendants.  Budget should be finalized by end of June.  There will be an estimated $4000 carryover for the next school year.  The current school year started at $3500, the goal is to leave as much as when the year started with $2000 required in the account.

2.  There was a question as to $700 in the performing arts account, they are asking for it to be used for sound or should it be given back to school?

Should the art account be separate or moved to the PTO account?

The request for scholarship funds of $204 for the band was voted on and passed by all PTO members.

3. Vote on New PTO Board Members

Job description of the co-president was discussed.  Board members were named, voted and elected.

4. BBQ

Date was changed from Thursday, September 9th to Tuesday, June 7th due to Rosh Hashanah.

Jayson will coordinate with Tammy on the details of the event.  Wendy will email the board on what is needed for the BBQ.

5. Craft Fair

There will be a separate meeting to discuss the craft fair on Monday, June 14th at 5pm.

The date was discussed as we still don’t know when St. Joes fair will be held, Wendy will find out the details on this issue.

Jayson stressed the importance of getting co-organizers who will be in charge of the whole event as well as the volunteers for each department.

The name of the event was discussed; possible ideas are Richmond Harvest Festival/Fair.

The silent auction is the biggest money maker at the event bringing in about $7000 in revenue for the PTO.

Julia Russell will handle getting letters out to crafters as the deadline is August.

The book fair will be held again next year; this should be discussed at a later date.

6. Room Parents

Room parents for all grades need to be set by September; two class parents are needed for each grade and will be a part of the PTO and attend meetings throughout the year to represent their class.  They are responsible for helping with getting volunteers for fundraisers.

Cathy Gamberoni will be in charge of putting together the room parent list.

7. Fall & Spring Fundraisers

Fundraising is going back to the PTO and will be for the whole school.

Fall Fundraiser

Jayson will be in charge of this fundraiser.  The room parents will be responsible for getting the materials out to their classes.

PTO members discussed the idea of direct donations, what would be the process if parents or family wanted to give a donation to the PTO; this was tabled to be discussed at a later date.

Spring Fundraiser

School Raffle

Ideas were discussed to do a school raffle, possibly raffle 3-4 items (Red Socks tickets, IPod) within a month, a raffle each week.  The 5th grade Red Socks raffle was referenced as doing very well and Jayson thought that if it did so well for one class then it could be a great fundraiser idea for the whole school.  It could generate a lot of money for low cost as items can be donated.

March was talked about as a good month as there are no school vacations and it’s before most the local sports and booster raffles begin.

This fundraiser was tabled to be discussed at a later date.

Other ideas for fundraisers were discussed such as an outdoor movie night.  More ideas for fundraisers can be discussed at a later date.

The next meeting will be on Tuesday, June 29th at 5:45 for the PTO board members.

PTO Meeting Minutes – May 12, 2010

First order of business was to vote for the PTO paying the speaker fee for Dr. David Anderegg who will be speaking at the school on May 19th from the Educational Productions budget.  The board also voted for making a monetary donation of $200, toward the community garden.

Julia Russell did a slide show presentation outlining the board positions and the focus and goals of the PTO.  It included the class trip financing requirements as well as the PTO financial requirements.  It briefly covered next years planned fundraisers and some other fundraising ideas, e.g.  monthly movie nights (after school for elementary, evenings for middle schoolers, the idea of after school play ground etc, was also brought up.  In addition the ideas of PTO dues and offering parents the option to opt out of fundraising by writing a check, (this would be done directly to the school, by S.S.A.E) in order to keep the students and classroom out of it and giving everyone confidentiality.

We also discussed including PTO events on the school website calendar and possible PTO website discussion boards.

Wendy Laurin provided a break down of the Craft Fair components, the crafter letters need to go out Mid August and the Silent Auction letters need to go out early September.

Some changes were discussed such as the name and that the Chinese Auction be removed from the event and the Kid Activities be brought in instead.

In the search for a new PTO board for next year, we have received a Secretary commitment and a Co-President commitment.  We still need a Treasurer for next year.  Julia Russell cannot do the office next year.   The new board members really need to be voted in at next months meeting.

A number of attendants expressed some concerns about the combining of class parents, with the PTO and across the board fundraising and feel that more discussion needs to be made before and changes occur.

Minutes – Tuesday, April 13, 2010

Jenevra  requested that the PTO fund 2 (two) 25 years of service clocks for faculty.  Jayson Tanzman will look into recognition items.

Discussed merging of Parent Enrichment Committee and PTO, being that they have similar mission statements and goals. Unanimously voted to proceed with this.

Main topic discussed with representative class parents was trying to lesson the burden of school fundraising.  At this time the PTO and the individual classes run fundraisers throughout the year to cover the costs of field trips and a number of school functions.  It is our hope that in conjunction with the class parents, the PTO would be able to raise approximately 17,000 a year between the craft fair – a fall fundraiser, and a spring fundraiser we will be able to meet these monetary obligations.   As class parents they would would under the PTO umbrella and  need to actively participate in meeting these goals.  We will need job descriptions for the individual class parents.  It will be strongly recommended that at least one class parent attend the PTO meetings.

We need to address the issue of having no PTO board for the coming year.  The only officer in first term is Jayson Tanzman.

Jenevra spoke of Joe Corbi’s, who we will be using for our fall fundraiser that will run Sept 20-October 1, 2010

Julia Russell presented the PTO treasurers report with class balances.  All the class monies in the accounts at the end of the year will continue to follow the classes until the monies are depleted.

There were three requests for monies from the PTO – Taconic High School was looking for a donation for after-prom that was voted down.

The parent enrichment committee was looking for funding for a guest speaker, but the amount was not know so it will have to be readdressed next meeting.

There is also a request for money for the community garden, amount not known, that too was adjourned to the next meeting.

Staff Appreciation week will be May 3-7, 2010.  Julia Russell will coordinate.

  • Barnes and Noble night was not very successful, we only raised $95.00 compared to last years $700.00.
  • Discussed the need to do a spring fundraiser.  We will do the PTO ink store fundraiser.  Julia spoke with marketers and had her concerns addressed.  We will run a blurb in the newsletter.
  • Again addressed the issue of not having a board for  next year and enough parent volunteer for the craft fair.  We have begun a new plea for parents to get involved.
  • Mrs. Strock presented a listing of the class field trips and the monetary requirements for these trips.  The faculty agreed to once again have the PTO work with the class parents to coordinate fundraising efforts.   We will look to fund-raise as a whole to cover the costs of the class trips (excluding the 7th and 8th grade trip).  Julia will work up some numbers so that we have a clear understanding of the funds needed for next year.
  • Michelle Smith requested that we provide the Pre K and K classes with the PTO class donation at the beginning of the school year due to the lack of funds for those two classes.
  • The PTO will produce Family Contribution envelopes for next year that

includes a check-off  list of PTO coordinated events for families to volunteer.

  • Mrs. Strock suggested that we hold a gift wrap fundraiser next fall she has had numerous requests for that from individuals.
  • Julia Russell suggested that we might sponsor a fundraiser for the music department.
  • Jayson Tanzman will coordinate the House Number fundraiser in conjunction with the new Fire Chief.
